Events in the Last Month

 

1) The LG NHW had a stall at the LG Primary Christmas Tree Sale. Due to the weather, attendance at the sale was low, but it was agreed that it remains important for the NHW to have a presence at community events.

 

 

 

 

 

Item 2

Recent Issues and Incidents In Lyde Green

 

1) A number of residents witnessed a Subaru driving recklessly on the playing fields. Residents were able to make a report to the police with the vehicle registration number. A fence has now been resurrected which should prevent further misuse of the field.

 

2)A local resident caught an incident of dangerous driving on their dashboard camera. Residents were able to locate the vehicle and share information via social media. Police were called and attended to the vehicle. Residents were reminded at the time that police should be informed immediately and that incidents should not be reported via FB (as these cannot be dealt with through the correct channels). Users of Lyde Green Local were also reminded not to post pictures of children/teens via social media for safeguarding purposes.

 

3) Poor street lighting remains an issue across the development. Poor lighting is considered to impact the safety of LG residents and anti social behaviour on the development. It may also lead to an increased likelihood of burglary/theft. The LGNHW agreed that it should weigh in on the issue.                                                       Action – AR to contact CB to discuss the most appropriate channel to feedback NHW concerns.

Item 3

Objectives for the next year

 

The Committee discussed progress made with LGNHW objectives

 

1.     Place signs within Lyde Green.   Target – get signs up by end of 2017.

Due to unforeseen circumstances their has been a delay in obtaining all the information the council requires in order to approve the erection of NHW signs. JB is currently compiling the information. All signs will need to be numbered to allow for tracking. All signs will also need a to show the LGNHW email address to allow residents to report any incidents relating to the signs. Si Venables knows a printer who might be able to print labels for the backs of all the street signs.

Action – SV to obtain quote for labels for street signs

The signs will also need to be reduced in size, with a few kept at full size for the entrances to the development etc.

Action – JB to email AH to confirm how many signs will need to be cut down.

2.     Hold a community event to publicise NHW.

The committee continued to discuss the best way to hold community events. It was agreed by all that the first event of 2018 would be a casual event to gauge the interest of LG residents.

Iain Parkes suggested a pub visit (Jolly @The Folly) where all residents were invited to come along.

The group agreed the event would take place on Thursday 22 February.

Action – JB to contact The Folly to see if they would be happy for us to come en masse (fingers crossed!)

Action – JB to set up FB event and continue to promote

Action – All committee members/coordinators to share the invitation and encourage neighbours to attend.

Action – AR to contact the Chair of the The Friends of LG Primary School to see if they would like to attend/share the event with other LG parents.

Action – JB to send information regarding the event to KB for publishing in EG Voice for February issue.

3.     Spread the word of LGNHW. Communicate what the value of a NHW is Work with LGCA

KB submitted an article to the EG Voice regarding the LGNHW

JB has spoken with the community centre who have confirmed that LGNHW can have access to the community centre noticeboard

4.     Fundraise so that there is surplus of funds within the account. Target of £200.

The group discussed potential methods of fundraising and agreed that it would be useful to work fundraising into future events. Funds raised will facilitate the organisation of further community events.

5.     Complete ‘admin’. Website / distribution lists / our watch registration / bank account/fill all roles within the NHW and ensure everyone understands responsibilities.

Bank account – AH has set up a LGNHW bank account. Funds from the Justgiving page have been deposited . AH, JB and AR are signatories. AH still requires a card reader.

Action – AH to contact bank to obtain card reader

Our Watch – LGNHW is still not appearing on the Our Watch search for local NHW groups. AR to follow up.

Action – AR to contact Our Watch to ensure that registration is complete.

Vacant roles – There remains some vacancies.

Residential Zone Coordinators

 

The group discussed the role of zone coordinators and agreed that they are helpful to the running of the watch.

 

Some zone coordinators have expressed uncertainty about what their responsibilities are:

Zone coordinators are to act as the Lyde Green NHW focal point for the zone in which they are coordinator.

Responsibilities include:

·       Advertising LGNHW to local residents, especially any newcomers to the area

·       Cascading information from The Watch to local residents. In particular, this might be important when issues directly effect one zone.

·       To be available as the first point of contact

·       To be on hand to hold the contact onformation of residents in their respective zones in the event that residents are away from their property. This will allow zone coordinators to contact residents in the event an issue directly effects their house/property. The service is optional.

·       To distribute leaflets and information as necessary

·       To take part in community events

 

Action – JB to issue a communication to all zone coordinators confirming role and responsibilities

Action – JB to post above communication on FB so that residents can see what zone coordinators can help with

Finance

 

The interim treasurer confirmed that no additional funds have been secured since the last meeting

Website

 

SB reminded all that all committee members and coordinator members need to register with the LGNHW website so that they can access behind the scenes features (such as the forum)

Action – AR to send a reminder to all via email

SB confirmed that email addresses can be set up for each zone. This will allow residents to contact their local zone coordinator to discuss immediate issues which can then be fed back to the wider group.

Action – SB to set up 12 new email addresses; one for each zone

 

AH pointed out that the settings for the email account mean that if anyone replies to an email, they end up replying to the whole group. SB informed the group that this could be amended.

Action – SB to amend settings so that replies go to the original sender

 

The group discussed setting up a distribution list to allow residents not on FB to be informed of news and events relating to the NHW. SB confirmed that people could complete their details on the website. There could also be a function that would allow people to opt out/remove themselves from the mailing list.

Action – SB to build the functionality into the LGNHW website.

This would allow the NHW to issue a newsletter via email.

 

Action – KB to design a template for the LGNHW newsletter

 

The group discussed the use of a forum for residents to share details of issues and concerns. It was decided that Facebook fulfilled this function.
